Teacher Portal

The signed-in side of the Portal, for your teachers. Each one runs their day from their own agenda: they take attendance and write notes for families, see the substitutions they cover, keep their weekly hours and time off current, report an absence and download their payslips. You switch access on per teacher, and an Admin can view the Portal as any teacher.

How to set up the Teacher Portal

Open the teacher's record and press Enable Portal Access, under Portal Access. The teacher gets an invite, and from then on signs in at the same Portal link as families, with a code emailed to them instead of a password. Access is per teacher, and a teacher always lands on their own agenda, never on the family side. Teacher access, profile and gallery has the details.

Most of what a teacher sees follows from what you have already set up: the classes and lessons they teach, your attendance rules, your Staff absence reasons in Settings, and the payroll periods you finalize, which is what puts their payslips in the Portal. Their weekly hours and time off are the same ones on the Availability tab of their record, so whoever updates them, you both see the same thing, and the Enrollment Portal only offers appointments inside them.

To check what a teacher sees, an Admin can open the Portal as them: View Portal as, next to Portal Access on the teacher's record, or As a teacher under Preview in Portal Studio. It opens a separate tab for 30 minutes, and anything you change there is recorded as you.

alinaflow has four portals, each for a different reader. The Enrollment Portal is public, for people who are not with you yet. The Family Portal is where the families you teach sign in. The Teacher Portal is where your teachers run their day. The Developer Portal is for connecting other software and AI agents to your school. The first three share one link: a visitor sees your Enrollment Portal, and a family or a teacher who signs in sees their own Portal.

The teacher Portal

Teachers have their own Portal at the same link as families, and sign in the same way, with a code and no password. It opens on Today: the lessons they teach today and what is coming up in the next two weeks, with a reminder at the top when a lesson still needs attendance. It keeps showing what was last loaded if their phone loses signal. Opening a lesson gives them the lesson screen. Start opens the attendance list with everyone present, and they mark anyone late, absent or excused. For each student, or for everyone at once, they can write a note for the family (the family reads it in the Portal), the homework and a staff note only your staff see, and add photos and videos, each marked for families or staff only. Finish shares the notes with families, or sends the attendance to the office first if your rules ask staff to confirm it. Attendance to take lists every lesson still waiting for attendance, and Substitutions lists the lessons they are covering for someone else, upcoming and past. My schedule, Weekly hours, Time off, Report absence and Pay slips sit in the same menu.

Teacher access, profile and gallery

A teacher gets into the Portal when you switch it on: open their record and press Enable Portal Access, under Portal Access. That sends an invite with a one-time sign-in link that works for 7 days, and Resend invite sits next to it until they have signed in. From then on they sign in at the same Portal link as families, with a code emailed to them and no password, and land on their own agenda. Onboarding holds any onboarding steps you assign them. My info is where they keep their photo and name up to date; their email is how they sign in, so your staff change it. They can also connect their own Zoom, Google Meet or Microsoft Teams account there, if they would rather host their online lessons on it than on your workspace's shared one. Gallery shows what they shared with families from the lessons and shows they teach, newest first. To see exactly what a teacher sees, an Admin can press View Portal as, next to Portal Access on the teacher's record, or use As a teacher under Preview in Portal Studio: it opens a separate tab for 30 minutes, and anything you change there is recorded as you.

Teacher hours and time off

Teachers keep their own availability up to date in the Portal, so you are not chasing it. Weekly hours is one row per day and time window when they can teach, with a switch for times they can also cover for others and an optional note. These are the same weekly hours you see on the teacher's Availability tab: they decide when the Portal offers that teacher's appointments and who you can ask to cover. Time off is for days away, as whole days or part of a day, with an optional reason; anything your staff entered for them shows as entered by you. If time off falls on lessons they are due to teach, your staff get a task to arrange cover, and the Portal stops offering those times to families.

Teacher absence reports

When a teacher cannot make a lesson, they tell you from the Portal instead of a late-night message. In Report absence they pick the lesson from the next 30 days and choose I cannot teach this lesson, then a reason, an optional note for you and, if they want, a medical note as a PDF or a photo up to 10 MB, which only they and your staff can see. You see it straight away and arrange a substitute, and the lesson then shows that the absence was reported. The reasons they choose from are your Staff absence reasons in Settings; if you have none yet, they are asked to contact you directly.

Teacher payslips

Pay slips shows each teacher their own payslips, and only once you finalize a payroll period, so they never see a draft. Each payslip lists the lessons it pays for, regular and substitute, taught and missed, with the amount per lesson and the total, and Download PDF gives them a copy. If you reopen a period to correct it, that payslip disappears from the Portal until you finalize it again.
