How pricing works

Three tabs, three fee kinds. Tuition covers the ongoing cost of attending a course. Enrollment Fee is a one-time charge when a student joins a course. Registration Fee is a one-time charge when a student first joins the school at a Location. Every fee pins to a specific (Course + Location) cell - a grid card per cell - and a student who attends across Locations only pays Registration ONCE, at their home Location.

What you charge, defined once. Recurring tuition, registration fees, materials, exam fees. Everything downstream reads from here, so a price change applies to future invoicing without you editing anything else. Set these before you enrol anyone.

Key fields

  • Fee kind - each tab = one kind. Tuition is recurring or upfront depending on the combo. Enrollment/Registration are always upfront at first invoice.
  • Amount - price tag. For Tuition + Recurring the first invoice auto-prorates when a student enrolls mid-period (toggle in Business Rules).
  • Pricing mode - how the line amount is computed. Per Month = flat periodic. Per lesson = count × rate (coming soon for Recurring). Per course = single total (for courses with a defined period).
  • Billing cadence - when the invoice cuts. Upfront = once at enrollment. Recurring = every period (cycle + timing set workspace-wide in Business Rules). Some combos are locked: Per Month must be Recurring, Per course must be Upfront, open-ended Weekly courses must be Recurring.
  • Status - Active fees apply to new classes. Identity fields (kind, course, location, pricing, cadence) can't be edited after creation - delete and recreate instead.

Statements

What are Statements?

Statements is the fastest route to a customer's ledger - pick an account and you see every invoice, payment, credit memo and refund they've ever had, in chronological order with a running balance. It's the same view as the Billing tab on the Account detail page, just with a picker on top so staff can skip the account-search-and-click step. Matches DeTres's "Estado de Cuenta" workflow - open it when a family calls and asks "what do I owe?" and you'll have the full story in one click.

A family's full financial history in one document: what was charged, what was paid, what is outstanding. This is what you send when a parent asks what they owe and why, and it is usually enough to end the conversation.

Key fields

  • Ledger - Every invoice, payment, credit memo, and refund for this account, ordered chronologically. Voided rows are hidden by default; toggle 'Include voided' to surface them for audit.
  • Quick actions - The toolbar above the grid lets you create a new invoice, payment, credit memo, or refund for the account without leaving the statement. Payments / credit memos / refunds light up when the Phase 3 module ships.
  • Running balance - The last column shows what the account owes after each transaction. Positive numbers are debt; negative numbers are credit in the account's favor.

Invoices

How does invoicing work?

Each invoice belongs to one account (the family/client) at a specific Location, and carries one or more line items - tuition, enrollment fees, event tickets, etc. You can create invoices manually from this page, or they'll be generated automatically when you enroll students or sell event tickets. Invoice numbers are sequential per location per type: NYC sees INV-NYC-000001, LAX sees INV-LAX-000001. Voided invoices are kept for audit but excluded from the ledger totals.

Every invoice raised, with its status and balance. Invoices are normally generated from enrolments and automatic invoicing rather than created by hand, so if you find yourself making them manually it is worth checking your tuition setup. From here you can send, resend, void or download as PDF.

Key fields

  • Per-location numbering - Every invoice, payment, credit memo and refund has its own sequence per location. Set 'Include location in prefix' under Your business rules to surface the location code in the formatted number.
  • Tax is stamped at creation - Each line item saves a snapshot of the tax rate at the moment you click Save. Editing the Tax Category later never retroactively changes historical invoices.
  • Total vs Balance - Total is what the customer owes when the invoice is issued. Balance is what's still outstanding after payments are allocated. A fully-paid invoice has Balance = 0 and status 'Paid'.
  • Voided invoices - Voiding doesn't delete the row; it flips the status to 'Void' and rolls back the account's open balance. Toggle 'Include voided' to see them in the list for audit.

Payments

How do payments work?

A payment records money received from an account - cash, transfer, card, check, anything. When you record a payment, alinaflow runs FIFO allocation against the account's open invoices: the oldest invoice gets paid first, then the next, until either every invoice is closed or the payment runs out. Anything left over stays on the account as credit balance - visible on the account's statement and automatically applied to the next invoice you create.

Money received, however it arrived: card, cash, transfer, wallet. A payment is allocated against one or more invoices, which is what clears the balance. Manual payments such as cash or bank transfer start as pending and are reconciled once the funds are confirmed.

Key fields

  • FIFO allocation - Payments always apply to the oldest open invoice first (by due date, then number). You don't manually pick which invoice to pay; the engine does it for you and the rules can never get out of sync.
  • Credit balance - When a payment exceeds what's owed, the surplus sits on the account as credit balance until you create the next invoice, at which point it sweeps in automatically. Refunds drain credit balance back to the customer as cash.
  • Voiding a payment - Unwinds every allocation it created, restoring the affected invoices to their previous state, and removes the payment from balance totals. The row stays for audit. Cannot be undone.
  • Credit memo vs refund - A credit memo reduces what an account owes without any cash moving (use it for billing corrections, cancelled services). A refund is cash going back out the door - Admin-only because it's destructive.

Automatic Invoicing

How does automatic invoicing work?

This is the recurring-tuition engine. A scheduled job runs every day and bills each enrollment whose tuition period matches today - monthly or weekly, in advance or in arrears, depending on what you set under Business Rules. Use this page to check the engine's health, browse past runs, and trigger a manual run for any month or week you need to catch up on.

The schedule that raises recurring invoices without anyone pressing a button. Set the cadence and the run date, and tuition goes out on time every cycle. This is the single biggest saving in the billing section, so it is worth configuring properly.

Key fields

  • Engine status - The green check means both the feature flag and the scheduled job are on. If either is off, the card turns amber with a link to flip it back on.
  • Schedule - The exact day the job fires, plus whether you bill in advance (period not yet started) or in arrears (period finished). Changing this in Business Rules moves every future run at once.
  • Last run - Invoices OK vs skipped vs errored. Skipped usually means 'already billed this period' or 'student paused'; errors are worth clicking into.
  • History - Every scheduled and manual run with its counts. Click a row to drill into the invoices it produced.

Dunning

How does dunning work?

The dunning worker chases overdue invoices automatically. Each invoice climbs through levels as days past due grow: L1 at 7 days, L2 at 14, L3 at 30, L4 at 60. Each level sends a reminder through the channels the customer has enabled (email / SMS / WhatsApp) in the owner's voice. Level 4 (collections) requires staff approval by default so you can double-check before a relationship-breaking step.

The queue of overdue accounts and the automated chasing that goes with them. Reminders escalate on a schedule you control, on the channel the family actually uses. The point is that nobody has to remember to chase, and nobody gets chased twice.

Key fields

  • Levels - The progression (1 → 4) mirrors real-world escalation. Each level has its own message tone; the customer sees a single thread, not four robots.
  • Approval queue - Invoices sitting at the approval level show up in the red banner at the top. Review, then approve to fire the next reminder. Anything below the gate auto-advances.
  • Pause - Temporarily stops the escalation on a specific invoice - staff promises a payment plan, customer asked for a grace period, etc. Resume when ready; the level doesn't reset.
  • Invoice history - Each invoice's dunning history lives on the invoice detail page. Use it to answer 'when did we last nudge this customer?' without digging through notification logs.

Packages ending soon

What is Packages ending soon?

Operational list of every active package whose coverage ends within the next N days. Staff should proactively call or message those families before their recurring tuition resumes at full price - this is the single most effective retention lever for prepaid customers. The red / orange / yellow badges indicate urgency: red = 7 days or less, orange = 14 days, yellow = 30 days.

Students whose prepaid package is nearly used up. Catching this before the last session is the difference between a renewal and a gap, so this list is worth a weekly look.

Overdue Report

What is the debt report?

A per-(account, location) breakdown of every account with outstanding balance on an open invoice. Sorted by largest debt first so collection outreach starts where the recovery is biggest. The four cards at the top give you the workspace's pulse: total debt, how many accounts owe money, the average per debtor, and the age of the oldest unpaid invoice - at a glance.

Everything owed, aged by how late it is. Use it to see whether a balance is one family with a large problem or many families with small ones, because those need completely different responses.

Key fields

  • Per-(account, location) rows - An account with kids in two locations appears twice, once per sede. Filter by location to see only the debt that's 'yours'. The location pill on the left makes the bucket explicit.
  • At risk? (red triangle) - True when the account has a student marked as consecutively absent (≥3 absences in a 30-day rolling window). It's the leading indicator that the family is about to stop showing up AND stop paying - chase those first.
  • Overdue pill - Color-coded by age: ≤30 days yellow, 31-60 days orange, 61+ days red. Use the 'Min days overdue' filter to focus on the worst offenders.
  • Payer rating - A summary of the account's historical payment behavior (Excellent / Good / Fair / Poor / Bad). Combine with the at-risk flag to triage: 'Bad' rating + at-risk flag = top priority outreach.
  • Row click - Drills into the account detail page so you can see the full ledger, send a reminder, or post a payment without leaving the workflow.
